5-Step Procurement Checklist: Buying Lab Equipment Without Overpaying

Step 2: Get Itemized Quotes—No Exceptions

This is where most procurement people mess up. They ask for a price, get a number, and start comparing. That's how you miss the real story.

When I audited our 2023 spending across 180+ equipment orders, I found that 32% of our 'budget overruns' came from costs not included in the initial quote. That 'free setup' offer? Actually cost us $450 more in hidden fees across 3 orders.

Here's what your quote must include (insist on this):

  • Base price (of course).
  • Shipping and delivery—and whether it's curb-side or installed.
  • Setup, calibration, and training (or the cost to add them).
  • Warranty terms: what's covered, what's not, and for how long.
  • Consumables and spare parts (like for a benchtop vacuum mixer—the filters, seals, or replacement blades).

When I compared 4 vendors for a three roll mill in early 2024, Vendor A quoted $8,200. Vendor B quoted $7,100. I almost went with B—until I got itemized quotes. Step 3: Build a Total Cost of Ownership (TCO) Model—It's 5 Lines

I've only worked with mid-range lab equipment vendors (projects from $3,000 to $25,000 per unit). I can't speak to how this applies to ultra-budget or luxury segments. But for the mid-range, TCO is simple.

Use this 5-line TCO template (I use a spreadsheet, but pen and paper works):

Step 4: Add a 'Determinism Premium' for Urgent Orders

This gets into scheduling territory, not my expertise. But from a procurement perspective, here's what I've learned:

Common Mistakes to Watch For
